Purpose of Position The purpose of this Child Support Department Assistant position is to act as the receptionist and provide support services for the Child Support Director and the Child Support Specialist within this strictly confidential office environment. Essential Duties and Responsibilities The following duties are customary for this position and are performed within the strictest confidence. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. · Uses the KIDS state-wide child support system to produce documents and letters. Enter and disposition events, updates employment, generate income withholding documents and obtains service of process. Maintains worklists. · Uses the CARES (Client Assistance for Re-employment & Economic Support) system and utilizes the data within this system. Review referrals and reports to determine if there are errors or duplication. · Under the direction of the Child Support Director and/or Child Support Specialist, prepare legal and/or other documents as assigned and required by each case. · Prepare both outgoing and incoming interstate actions for child support. · Use available resources to locate absent parents and access pertinent information concerning income, employment, assets and any other relevant information needed to work on child support cases. · Accurately input and update data/court orders. · Analyze and process payments that are suspended daily. · Analyze KIDS system financial records. Identify errors in allocation, distribution and disbursement of child support payments Additional Duties and Responsibilities · Utilize the KIDS system to compose correspondence in answer to written and telephone inquiries. · Review applications/referrals for completeness of data. · File information related to child support cases. · Schedule hearings and appointments. · Review reports to assist with the management of cases and take appropriate corrective action and/or refer to appropriate case manager · Perform other functions as needed which are consistent with the general duties of Assistant. Minimum Training and Experience Required to Perform Job Functions: · High school diploma or GED. · Three years of increasingly complex office experience. Knowledge, Skills, and Abilities Required to Perform Job Functions: · Minimum typing rate of 40 words per minute. · Organized self-starter with a multi-task orientation and the ability to accurately complete all job tasks with minimal supervision. · Successful completion of written office skills test, which includes MS Word. · Requires regular attendance. Language, mathematical, judgmental/reasoning, and oral and written communication skills. · Proficient in the use and operation of a computer and word processing and data base management. · Ability to communicate in a professional manner with people, and handle difficult situations and persons displaying hostile behavior. · Professional oral and written communication skills. · Skill in performing mathematical computations. Working EnvironmentTypical working environment is within a non-smoking temperature-controlled office. Physical Requirements Ability to operate office equipment such as multi-line telephones, copiers, facsimile machines, typewriters, personal computers, calculators, etc. Ability to exert very moderate physical effort in sedentary to light work activity, typically involving some combination of stooping, kneeling, crouching, lifting, carrying, pushing and pulling, and stair climbing.
